  • Oversee scheduling management by coordinating appointments, meetings, and deadlines for tax professionals and clients
  • Manage vendor relationships, including invoicing, payments, and maintaining professional communication with service providers
  • Handle bookkeeping and office accounting tasks using QuickBooks to ensure accurate financial records
  • Supervise administrative staff, providing training & development opportunities to foster team growth and efficiency
  • Maintain meticulous filing systems for client records, tax documents, and office correspondence
  • Support human resources functions such as onboarding new team members, managing payroll processes, and maintaining employee records
  • Coordinate event planning for client seminars or internal meetings, ensuring all logistics are handled smoothly
  • Operate multi-line phone systems with excellent phone etiquette to answer inquiries promptly and professionally

Requirements:

  • Proven experience in office management, administrative support, or clerical roles within a professional setting
  • Strong organizational skills with the ability to multitask effectively in a busy environment
  • Demonstrated supervising experience with a focus on team management and staff development
  • Proficiency in QuickBooks for bookkeeping and financial management tasks
  • Excellent communication skills, both verbal and written, with a focus on clear, professional interaction
  • Experience in scheduling management and calendar coordination to optimize workflow efficiency
  • Knowledge of vendor management processes and basic budgeting principles.
  • Familiarity with front desk operations, filing systems, multi-line phone systems, and general office procedures.
  • Ability to adapt quickly to changing priorities while maintaining attention to detail.
